The Norfolk Naturopath is committed to protecting your privacy and handling your personal information with care, transparency and respect.

As a naturopathic clinic, we're a health service provider under the Privacy Act 1988 (Cth). This means we're bound by the Australian Privacy Principles (APPs) regardless of our size — the small business turnover exemption that applies to most small businesses does not apply to us. 2. Health Information

Health information is treated as sensitive information and given the highest level of protection under the Privacy Act. We only collect what's reasonably necessary to provide safe, effective naturopathic care, and it's stored securely through Simple Clinic, our clinic management system.

3. How Your Information Is Used

Your information may be used to:

  • Manage appointments and bookings

  • Provide naturopathic care, assessment, and recommendations

  • Communicate about appointments or clinic matters

  • Process payments

  • Deliver telehealth services via Doxy.me

  • Coordinate care with your GP or specialists you've been referred to, with your consent

  • Send educational resources or newsletters (with consent)

  • Meet our legal and professional obligations (including NHAA practice standards)

We do not sell or rent your personal information to third parties.

4. AI-Assisted Tools in Clinical Care

We use AI-assisted software (currently Claude and Heidi Health) to help draft, analyse, and format clinical documents such as consultation notes, pathology reviews, and reports of findings.

Here's what that means in practice:

  • These tools may process your health information as part of preparing your records or documents.

  • Every document is reviewed, verified, and takes on final clinical responsibility by Zoe King (BNat) before it reaches you or informs your care. AI tools support drafting and formatting — they do not make clinical decisions.

  • Because these tools operate on infrastructure that may be located overseas, your information may be handled or stored outside Australia as part of this process (see Section 8, Overseas Disclosure).

  • You're welcome to ask, at any time, how AI tools are used in preparing your documents, or to request they not be used for your file.

5. Booking Systems & Third-Party Platforms

We use trusted third-party platforms to support clinic operations, including:

  • Squarespace (website)

  • Simple Clinic (booking and clinical records)

  • Doxy.me (telehealth)

  • Square (payments)

  • Website analytics tools

These providers may collect or store limited information necessary for their services. We aim to use platforms that meet appropriate privacy and security standards.

6. Email Communication

If you subscribe to our newsletter or educational updates, we may send occasional emails relating to women's health, clinic updates, resources, or promotions. You can unsubscribe at any time via the link in any email.

8. Overseas Disclosure

Some of the platforms and AI-assisted tools we use (including Claude, Heidi Health, and elements of Squarespace) may store or process data on servers located outside Australia. Where this occurs, we take reasonable steps to ensure your information continues to be handled consistently with the Australian Privacy Principles.

9. Data Storage & Security

We take reasonable steps to protect your personal information from misuse, loss, unauthorised access, or disclosure. Clinical records are retained for a minimum of 7 years in line with professional practice standards. While we use secure, reputable systems, no online transmission or storage system can be guaranteed completely secure.

10. Data Breach Notification

If a data breach occurs that's likely to result in serious harm, we'll assess it and, where required, notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in line with the Notifiable Data Breaches scheme.

11. Access to Your Information

You can request access to your personal information, or request corrections, by contacting us using the details below. We aim to respond to these requests within 10 business days.

12. Children's Information

Our clinical caseload includes paediatric clients, so we may collect health information about a child in the course of naturopathic care. Where a client is under 18, information is collected and consent is provided by a parent or legal guardian, who holds the right to access, correct, or request deletion of that information on the child's behalf.

13. Third-Party Links

Our website may contain links to third-party websites or services. We aren't responsible for the privacy practices or content of those third-party sites, and we encourage you to review their privacy policies before providing them with any information.

14. Change of Ownership

If The Norfolk Naturopath is ever sold, merged, or restructured, your personal information may be transferred to the relevant new owner or entity as part of that transaction. We'll require any such party to continue handling your information consistently with this Privacy Policy.
